Where Should a VC Fund Keep Portfolio Company Files After Investment?
A practical file checklist for portfolio holdings, including companies added after the investment decision rather than through a deal pipeline.
The deck that won the investment still matters after the deal closes. So do later board materials, founder updates, and the documents your team needs before an LP letter. Keep each file with the company record that the fund actually uses, not in a folder whose owner and purpose nobody can reconstruct six months later. In GPAgent, a portfolio holding has a Files tab, even if someone entered the holding without first creating a deal.
- Open the portfolio holding and check its Files tab before creating another company record.
- Attach the document there with a name that tells your team what it is and when it was current.
- Check the related deal when you need the broader investment history. The holding and deal show the same file record.
- Keep the holding's position details separate from the file. Uploading a deck is not an instruction to change check size, dates, or LP visibility.
- Confirm that the person who needs the file has the right fund access. Do not paste a private file URL into a public update.
A holding can exist without a deal
A fund can have holdings recorded before it sets up its current deal workflow. A partner records the holding directly, then later asks where the original deck should go. Creating a second portfolio entry to hold that file is the wrong move: now the firm has two records for one position.
GPAgent's answer is the holding's Files tab. When a holding has no linked deal, attaching its first file creates a deal on that holding's vehicle and links the two. The holding remains the record of the position. The new deal gives the file a home alongside other investment artifacts; it does not rewrite the holding's investment terms or its LP visibility. This is the specific workflow behind the feature, not a claim that every old document is automatically imported.
| Where you are working | Put the file here | What happens next |
|---|---|---|
| A portfolio holding with an existing deal | The holding's Files tab | The file appears on the linked deal too. |
| A portfolio holding entered without a deal | The holding's Files tab | GPAgent creates and links a deal when you attach the first file. |
| A company still under evaluation | The deal's artifact area | The file stays with the investment work before there is a holding. |
Keep the source, not just a summary
A sentence in a portfolio note such as “the deck said enterprise sales are growing” is not a substitute for the deck. Keep the source document so a partner can check the claim before it appears in an investment review or investor update. Use a label that identifies the document's role, such as “Pitch deck, version reviewed for investment,” rather than “final-new-2.pdf.” If a newer deck replaces it, check which one the team treats as current instead of silently treating both as the same evidence.
There is a privacy boundary here too. GPAgent stores uploaded deal files privately and opens them through a sign-in-gated file route with a short-lived signed link. A file attached to a holding is still a deal artifact. It does not become a public document just because the company also appears in a portfolio or investor-facing view.
Review the file before the next fund meeting
Open the holding, check the Files tab, and ask three questions: Is the document there? Is its label clear enough for another partner to recognize? Is it the version the team should use now? Then open the linked deal if the discussion needs the rest of the investment context. This small review is more useful than asking an agent to summarize a document that the firm never saved.

FAQ
Does attaching a file change the holding's investment terms?
No. For a holding entered without a deal, the first attachment creates a linked deal for its files. The holding stays the record of the position; the attachment does not overwrite its check size, investment date, or LP visibility.
Can an LP open a file attached to a holding?
Do not assume so. The Files tab uses the deal artifact system, and uploaded deal files require authenticated fund access to open. LP-facing documents are a separate publishing decision, not an automatic consequence of attaching a file here.
Should we upload every old fund document at once?
Start with the files your team will use in a real decision or update. Check the company and vehicle first, then attach the source with a recognizable label. GPAgent does not bulk-create deals for every older holding just to fill an archive.
